Temp to Perm - HR Assistant for a boutique Investment Bank
 
Overview

To support the HR Business Partner and Head of HR with administrative, process and system support at a consistently high level, whilst developing HR skills and knowledge to take on wider responsibilities.
 
Main Responsibilities:
 
General
• Oversee and monitor HR incoming calls - answering queries from internal and external stakeholders, taking action or delegating where necessary
• Co-ordinate meetings and take minutes as and when required
• Prepare reference letters, e.g. tenancy, visa, employment
• Respond to reference requests from external stakeholders
• Process department invoices
• Conduct new joiner inductions where required
• Being the first point of contact for all new joiners
 
Systems and process
• Maintain HR systems on a daily basis, accurately and to indicated time lines
• Input new joiners and process leavers, changes in contractual details, attach documents, checking absence records
• Keep personnel files up to date, ensuring correspondence where applicable is filed promptly and accurately
• Preparation of letters and associated documentation i.e. induction packs, contracts, acceptance of resignation etc.
• Follow internal documentation procedures in relation to i.e. salary increase, probation forms and follow them through to completion
• Manage department filing system.
 
Recruitment
• Support the HR Business Partner and Head of HR with the tracking, interview booking and feedback of interviews.
• Liaising with agencies to ensure terms of business and CV submission is accurate and timely
• Obtain feedback from the business and communicate interview feedback to agencies
 
Skills and Experience:
• Previous experience within HR, preferably with a background in financial services.
• Proficient in Microsoft office packages to an intermediate level
• Knowledge of HR systems useful but not essential (Cascade)
• Educated to A Level, a degree is preferable
• Excellent interpersonal skills and ability to communicate effectively with management at all levels.
• Ability to work autonomously and work well in a high pressure environment.
